Student Records

Transcripts and Files

  • Maintenance of student transcripts and files is consistent with the rules and regulations of the American Association of College Registrars and Admissions Officers (AACRAO) and in compliance with the Family Educational Rights and Privacy Act (FERPA.)
  • HUC-JIR maintains an electronic file for each student in the Student Information System (SIS). Students have access to all pertinent information in SIS and may check them for accuracy.
  • Admission file is maintained by the Office of Recruitment ad Admission and they include:
    • Confidential letters of reference written in support of the student’s application.
    • Application materials other than confidential letters of reference. These include the application itself, transcripts, Graduate Record Examination scores, autobiographical statement, medical forms, letter of acceptance and letter of acknowledgment.
  • Program files may be kept by the student’s Program Director
  • General academic file is maintained by the Office of the Registrar and they include:
    • International student's visa related records.
    • VA student's benefits related records.
    • Forms submitted by the student.
    • Approvals and relevant correspondences.
  • Students may contact the appropriate office to access their files.
  • Appropriately designated administrative personnel, approved by the Office of the Registrar, may have access to the part or all of the student files.
  • Requests for official transcripts are made through National Student Clearinghouse for $10 per transcript.
